Project Overview
Before using AI, Virtua Solution’s HR team had to spend hours each day reviewing large volumes of resumes. Screening was slow, repetitive, and difficult to scale as hiring needs increased. This manual work became a deterrent, reducing the time available for candidate engagement and improving hiring strategies.
To address this, HR tested AI-powered resume screening to automate the first stage of sorting and ranking applicants. After evaluating different tools, the team selected AI Screening, which is a lightweight and affordable option. They also used the AI-native candidate matching features in JobStreet and Indeed to filter applicants before running them through AI Screening. The goal was to speed up sourcing and shortlisting while maintaining candidate quality.
Objectives and Expected Outcomes
The project had three clear goals:
- Reduce HR screening time by at least half
- Identify strong candidates earlier so hiring managers receive better shortlists faster
- Keep costs controlled while using a tool that is easy for the team to adopt
Success was defined as reducing screening time from about 4 hours to roughly 1 hour per batch of 100 resumes, while keeping hiring managers satisfied with the shortlisted candidates and ensuring the solution stayed affordable and user-friendly.
Implementation Process
The team reviewed the recruitment workflow and identified resume screening as the main cause of delays because it consumed the most time and involved repetitive manual tasks. This bottleneck made it the best starting point for automation.
Two tools were tested:
- Manatal, which offered more features but was costly and complex
- AI Screening, which was faster and more budget-friendly
The team also utilized JobStreet and Indeed’s built-in candidate matching to help narrow the applicant pool before AI Screening ranked resumes.
Throughout the entire process, implementation took approximately two months. The pilot results provided enough confidence in AI Screening’s speed and accuracy to incorporate it fully into the process.

Challenges and Lessons Learned
The main early challenge was hesitation about trusting AI with work the team previously handled manually. Another limitation was that the AI occasionally misidentified strong candidates, which made it necessary to balance automation with manual review.
To address this, the team:

- Set up a simple feedback system to adjust filters and improve accuracy over time
The key lesson was that AI performs best when paired with human judgment. AI can process large volumes quickly, but human insight remains important to maintain quality and fairness.
Measurable Impact
After adopting AI Screening, the time required to review 100 resumes dropped from 4 hours to about 1 hour. The time saved allowed HR to focus more on meaningful candidate engagement and improved sourcing strategies.
HR also observed that candidates endorsed by AI Screening performed better in interviews with hiring managers, indicating stronger shortlists compared to the previous approach.
A specific result from a recent hiring effort:

- This significant improvement helped the team move faster and avoid operational delays

Broader Significance and Next Steps
This project set a benchmark for process automation in HR at Virtua Solution because the team is now exploring other repetitive HR tasks that could benefit from AI, including onboarding and employee surveys. The success also creates an opportunity to offer similar AI-powered support to clients.
